A material submittal in minutes. Not in an hour.
The form your contract requires, the full set of product documents, numbering, an index of annexes, one PDF. Free — company registration by Polish tax ID (NIP), no card details.
Anyone who has prepared a submittal knows where the time goes.
The submittal itself is two pages of a form — but to fill them in you have to establish exactly which product is involved, gather declarations, certificates and data sheets, check the documents are still valid, number the annexes, count the pages and assemble the lot into a single file in the format this particular contract demands. On an average project there are dozens of them. And they always land on someone who has more urgent things to do.
Five steps to a finished pack
-
Upload the submittal form from your contract (DOCX)
The system analyses the structure of the form and proposes a field mapping — you confirm it once, for the whole project.
-
Enter the product
Manufacturer and type, or the description from the bill of quantities — whichever you prefer. The system recognises the product and suggests a category.
-
The system tells you what is missing
Every product category requires a different set of documents — a cable is not a control panel, and a control panel is not paint. Built-in completeness rules show what is required, what is recommended and which document is about to expire.
-
Upload the documents, the system reads them
It classifies the document type, reads the manufacturer and model, and warns you if a declaration does not match the product on the submittal — before the inspector notices.
-
Download the finished PDF pack
The completed form, numbered annexes with an index and page counts, a footer across the whole pack and a checksum. Plus a register of every submittal on the project, exportable to Excel.
Cards on the table: registration needs a Polish tax ID (NIP) — company details are pulled from the Polish business registers, so a company without one cannot open an account. The generator accepts forms in DOCX (if all you have is a scan or a PDF, write to us and we will prepare an editable version). Document recognition works best on PDFs with a text layer; scans without OCR have to be described by hand. And where a submittal is unusual or contested — you can always hand it to us, the human way.
Your documents stay yours
- Your company's data is isolated from everyone else's: only the people you invite to a project can see it.
- Documents you upload are not shared with anyone.
- You open a company account by Polish tax ID (NIP) — the registry details are pulled automatically from the Polish public registers.
Register by Polish tax ID (NIP). No card details.
Upload the form from your own contract and produce your first submittal today. And when an unusual or contested one comes along — hand it to us.
